Overview

Simple activities and meeting agendas to help you infuse civics without needing to use a full meeting.

Why This Matters

Your ERG does not need a big event to make a meaningful impact. Short activities help employees feel informed, supported, and grounded during a busy season. These moments work best when they are simple, steady, and built into rhythms you already have. The formats below give you ready to use agendas you can host with no extra prep.

15-minute Micro Moment

A quick and simple touchpoint that gives employees clarity without adding work to their day.

Agenda:

Minute 1–3: Welcome and purpose
Share a calm, simple line such as: “Our ERG is here to help you feel informed and supported during election season. This moment is short, simple, and nonpartisan.”

Minute 3–8: Share one helpful resource
Choose one:
• How to find your polling place
• How to check your registration
• How to identify trusted sources
• Early voting basics

Give people one clear next step.

Minute 8–12: Invite questions
Keep questions high level and process based.
If conversations drift, use: “Let’s bring this back to information that helps everyone participate with confidence.”

Minute 12–15: Close with calm
Thank everyone.
Share one supportive line: “Civic participation can feel overwhelming. Our ERG is here to help make things simple.”

30-minute Learning Session

Agenda

Minute 1–5: Set the tone
Explain the purpose and the nonpartisan guardrails.
Reassure people that the session is optional and focused on simple learning.

Minute 5–15: Walk through two practical tools
Choose any two:
• A trusted state or county election website
• A nonpartisan voter guide
• A how to vote early walkthrough
• A checklist for Election Month

Explain what each resource does and how employees can use it.

Minute 15–25: Small group reflection
Invite groups of two or three to answer one question:
“What information helps you feel more confident during election season?”

No debates. No persuasion. Just personal reflection.

Minute 25–30: Share and close
Share two insights from the group.
Offer one supportive next step.

Things You Can Add Anytime

Small touches that create steady engagement without planning an event.

Slack or Teams prompts:
• “Here is where you can check your registration in under two minutes.”
• “Here is the easiest way to find your polling place.”
• “Here are key dates this month.”
• “Here is one resource our ERG trusts for accurate information.”

Five minute huddle moments:
• A quick reminder about early voting
• A simple definition of a civic term
• A brief note on how to reduce election stress
• A highlight from a trusted source

Add ons to existing ERG meetings:
• A short resource spotlight
• A grounding reminder before the meeting starts
• A one question pulse check: “What would help you feel more informed this month?”

These micro interactions build confidence through repetition rather than pressure.

Ways to Use These Activations Inside Ongoing ERG Programming

  • Mix into monthly meetings: Share one resource or skill at the end of the agenda.

  • Add a civic moment to cultural celebrations: Tie the activation to belonging, community, or empowerment.

  • Use civic moments as leadership development: Have ERG leads practice facilitation and calm communication skills.

  • Turn them into simple onboarding touches: Share key resources with new hires during election years.
