Think of this as your “Just tell me what to do” checklist.
Planning & Coordination
Before you launch anything, take these five steps:
✓ Meet with HR, DEI, Legal, or Government Affairs to align on compliance
✓ Identify a Civic Engagement Lead or small task force inside your ERG
✓ Review internal guidelines for voting and distributing civic conent
✓ Plan your intiative 1-month out
✓ Book rooms or virtual spaces for events
Why this matters: Employees trust you, but they also need you to stay inside the guardrails. Partnership keeps everyone safe and supported.
Communications & Outreach
Use multiple gentle touchpoints — never pressure, never persuasion.
✓ Write and send a kickoff announcement
✓ Post QR code flyers in approved areas (or digital widgets in Slack/Teams)
✓ Share weekly civic prompts or fun trivia
✓ Promote events in your ERG newsletter and channels
✓ Coordinate with Internal Comms for broader visibility
Resource & Content Sharing
Your credibility comes from staying neutral and factual.
✓ Share voter registration lookup tools early
✓ Use only vetted, nonpartisan explainers
✓ Offer printed or multilingual resources for broader access
✓ Invite colleagues to explore issues respectfully
Engagement & Event Execution
You’re building confidence, not intensity.
✓ Host at least one in-person or virtual event
✓ Use the Civil Discourse Toolkit to set tone and expectations
✓ Include a call to action at every activation
✓ Encourage photos, “I Voted” stickers, or short reflections
✓ Ensure accessibility with captions, screen-reader-friendly PDFs, and ADA-aware event sites
Impact Tracking & Recognition
Your work deserves celebration.
✓ Log attendance, QR scans, pledges, and engagement
✓ Collect stories and testimonials
✓ Share your impact report with HR, DEI, and IGCI for benchmarking
✓ Nominate your ERG for civic leadership recognition
